To ensure smooth monthly billing, every organization must keep a valid credit or debit card on file (found in Admin > Settings > Financial).
How Monthly Billing Works
Our automated billing runs at midnight ET on the last day of each month (just before the 1st).
- If your organization has a negative balance, your card on file will be charged to bring the balance back to zero.
- If your organization has a positive balance (credit), no charge is made — your credit will carry forward.
What Can Cause a Negative Balance (and Trigger a Charge)
Manually registered users marked as not paid
When an admin adds a participant and marks them as unpaid, the full service fee for that registration is deducted from your organization's balance.
Payments made by cash, check, offline or other
Since these bypass our card processor, the corresponding service fees are deducted from your balance.
Disputed credit card charges & chargebacks
If a customer disputes a transaction with their bank and you lose the dispute, the disputed amount + any associated fees are charged to your organization's balance. Details will appear under Admin > Settings > Transfers.
Additional fixed fees
This includes things like custom design fees, late payment fees, or other manual charges applied to your account.
Keeping a card on file ensures all charges are handled automatically and your services remain uninterrupted.

Additional Charges You Might See - ACH Debits
Outside of the regular monthly billing, you may occasionally notice an ACH debit pulled from your bank account with the descriptor "SPORTS WEB TOPSCORE."
This happens whenever a single payout batch (a "transfer day") has more money going out in refunds than coming in from new payments, resulting in a net negative for that day. We automatically pull the difference via ACH to cover it.
These debits are normal and only occur when refunds exceed incoming revenue in a given batch.
